P1 Corrections

I have several aims and objectives for my visual tour, these are to inform,educate and promote to my audience. My audience for my visual tour is parents, students and potential parents and students. This is so i can inform them of a department in the school. This is so i can interest them and promote the school in a good way. There are several types of media that can be used to create a visual tour of the department, these include: Text – This includes newspapers, magazines, leaflets etc. The text would be used to give written information about the area to inform you of certain aspects of the subjects. This would then meet the aims of the subject department as it would give more information on the department and try interest the students and parents Audio – This would include voices and music. The audio would be used when people speak in the video as they would’ve been recorded speaking, or if background music is being played to make an atmosphere. It would meet the aims of the department as the teachers in that department could get across their view as they would be able to explain by speaking into the camera or microphone. This would meet the audience’s expectations as parents and students would get information on what happens in the department, helping them decide whether or not to choose that subject. Video – An example of this would be YouTube videos and music videos. Videos would be used for the virtual tour of the department, such as showing people where the department is and maybe a video example of that the course entails. This would meet the department’s aims as they are able to show exactly what goes on. It will meet the audience’s expectations as they get a full visual view of the department, it also gives them a better idea of what they will do in that subject, such as if it was the learning resource centre they would see what environment we offer and all the resources we have to offer to the students to enhance their learning. Still Images - Includes photos, drawings and paintings. Still images would be used to display photos of the department in the virtual tour such as different types of resources in the learning resource centre. It would meet the aims of the department as the photos could show students enjoying their lessons, or displaying their work or even just to inform them on what goes on during a lesson. This would meet the audience’s expectations as new pupils would see the sort of work that they would be doing, and parents would see that the school is clearly a fun place to be in. Moving Images – This can be used for entertainment purposes and to give a better image of how the school looks and the specific department. This is fit for purpose as we are trying to interest the students and the parents and this will meet their needs of showing them what’s on the department and what they can do. This is why the moving images really interest the audience as it will give them more of an idea of whats going on in the department rather than a still image.

I had several aims for my database, these are as follows:
- Be able to add new members.
- Report data every month
- Take handwritten data and put it in a database for it to be more efficient.
- Create validation rules, presence checks, list checks, range checks, input masks and format checks.

I have successfully completed my database covering all the aims I had for the database. I have created tables, forms, queries, macros and relationships.  This has made it easier to move all the information from paper to the database, this is what I originally intended. Therefore my database covers my specification that I made prior to making the database. It runs smoothly and works as it should. An example of my database working is that I can now append new members into the database via the form I created. I go onto the form fill out all the details correctly. If they are not filled out correctly it will come up with an error message, however when they are it will put the new member into the database. This allows it to be accessed easily and makes it more efficient for new members joining.

Not only do I have the information on members, I also have information on payments and reviews.  All of the different pieces of information has its own table to make it easy to access, view and import. Below I will specify how I imported data, added new members, creating a report and checks.

Importing data- I had the data in separate documents and appended it into specific tables. Now the data is set out so it is easy to read and you can also search the data.

Adding new members- I created a form which made it easier for people to register as is will all be stored on the electronic system. It also made sure that everyone had all the information needed. I did this by putting checks on it, this worked successfully when everything was filled in correctly.

Checks- I created and tested many checks including presence checks, list checks, range checks, input masks and format checks and they all worked how I expected. I put these validation rules in to comply with some rules of the film club. For instance being above the age of 13, and only paying between the range of £3-£10. This made the information all correct, and I will not have to make any improvements.

Created Reports- I created a report from Jan- April then put it into a word document to make it easy to read. It is also good that I can get it from a specific time.

An improvement that I can make is by making a switchboard, this would make it easier to navigate around the database. This will include a button to go to home, register a member and one to make a payment.
Another improvement I can make is by making a payment form. This will just be like making a register form but with the payment. This will make my database more useful for the people using it.
The final thing Im going to improve is to disable the ability to edit the database. At the moment I can edit the database through the menus at the side of the screen, so can everyone who uses the database but I shall change that so only I can edit he database so the information is safe.

Different Types of Media

Graphics/Logos- Logos would be used to show it’s from the Kingswood school and take make it unique and recognisable by the internal and external customers of the school. This is for all different types of audience as it is on every letter or documents that goes out from the school this makes it look professional.

There are several errors that can occur when using databases. This includes accidental deletion of fields. This could be time consuming if you do delete fields. You can overcome this problem by backing up, this allows important data to be restored. You can set this to automatically back up every 5-10 minutes. Another way to overcome this is save your documents in two places. So for instance save it on your computer and on an email or a memory stick. 

Another error is the incorrect data type. A way you can decrease this is by doing multiple choice questions. This allows the data to be entered faster and makes it easier to complete a data form.

M1- Explain referential integrity in a relational database, describing the purpose of primary keys and foreign keys.

Referential integrity is a database concept that guarantees relationships between tables remain consistent. To do this you need to have a primary key and a foreign key.

A foreign key is a field in a relational table that matches a primary key column of another table. The foreign key can be used to cross-reference tables. On the other hand the primary key is unique for instance some businesses such as Matalan have card numbers unique to every customer. This is to identify them on their own. As many other ways they can identify them for instance ‘surnames’and‘street name’ several other customers would have the same.

There are different types of relationships including one to one, one to many and many to many.

An example of a one to one could be wife to husband and husband to wife.

An example of one to many could be a mother to her children.

An example of many to many could be many people can comment on a photo on social networking.
